The personal data we collect

We collect only the data we need to answer your enquiry and arrange your stay.

Booking requests

When you request a booking through our availability calendar and booking form, we collect your full name, email address, phone number, your chosen arrival and departure dates, the apartment and number of guests, and any notes or questions you add.

Contact form and email

When you use our contact form or email us directly, we collect your name, email address and the content of your message.

Information collected automatically

When you visit the site, our hosting provider records standard technical data such as your IP address, browser type and the pages you view, in server logs used to keep the site secure and running. With your consent, we also use Google Analytics – see our Cookie Policy for details.

Why we use your data and our legal basis

Under the GDPR we may only process your personal data where we have a legal basis. We use your data for the following purposes:

  • Handling your booking and stay – to check availability, confirm your reservation, send payment details and manage your stay. Legal basis: performance of a contract, or steps taken at your request before entering into one (Art. 6(1)(b) GDPR).
  • Answering your questions – to reply to messages you send us. Legal basis: our legitimate interest in helping prospective guests, or pre-contractual steps (Art. 6(1)(f) and (b) GDPR).
  • Website analytics – to understand how the site is used and improve it. Legal basis: your consent (Art. 6(1)(a) GDPR), which you may withdraw at any time.
  • Legal and tax obligations – to keep booking and payment records the law requires us to keep. Legal basis: compliance with a legal obligation (Art. 6(1)(c) GDPR).
  • Security and prevention of misuse – to protect the website and our guests. Legal basis: our legitimate interest (Art. 6(1)(f) GDPR).

How long we keep your data

We keep your personal data no longer than necessary. Booking and payment records are kept for your stay and afterwards for the statutory retention period that applies to our administration (in the Netherlands, generally seven years for tax records). Enquiries that do not lead to a booking are deleted within a reasonable period. Analytics data is retained according to the settings in Google Analytics.

Who we share your data with

We never sell your personal data. We share it only with the parties needed to run our service, and only as far as necessary:

  • Our website hosting provider ([[HOSTING_PROVIDER]]), which stores the website and booking data on our behalf.
  • Our email provider ([[EMAIL_PROVIDER]]), used to send and receive booking and enquiry messages.
  • Google, for website analytics, but only if you have given consent (see our Cookie Policy).
  • Our bank, to process the payment for your booking by transfer.
  • Public authorities, where we are legally required to disclose data.

Where these parties process data on our behalf, we have appropriate data-processing agreements in place.

International data transfers

In principle your data is processed within the European Economic Area (EEA). Some services, such as Google Analytics, may process data outside the EEA, including in the United States. Where that happens, the transfer is covered by appropriate safeguards, such as the European Commission’s Standard Contractual Clauses or an adequacy decision.

Your privacy rights

Under the GDPR you have the right to:

  • request access to the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data erased;
  • restrict or object to our processing;
  • receive your data in a portable format;
  • withdraw your consent at any time, where processing is based on consent.

To exercise any of these rights, email us at info@vakantieinbergenaanzee.com. We will respond within the period required by law.

Complaints

If you think we handle your personal data incorrectly, we would like to hear from you first so we can put it right. You also have the right to lodge a complaint with the Dutch data-protection authority, the Autoriteit Persoonsgegevens.

How we protect your data

We take appropriate technical and organisational measures to protect your personal data against loss, misuse and unauthorised access, including secure (HTTPS) connections and access controls.

Children

Our website and bookings are intended for adults. We do not knowingly collect personal data from children without the consent of a parent or guardian.
